The Facilities Coordinator will assign a Hall Manager to each event scheduled through
the Office of Campus Activity Facilities. The Hall Manager is the representative of the
Office of Campus Activity Facilities at the event. The Hall Manager will arrive at the
event site at the hour requested by the client and greet the client, answer any questions
or address any problems for the client. The Hall Manager will also :
- Unlock the facility, turn on lights and check temperature.
- Check the equipment and set up as requested on the space reservation form.
- Make any corrections or adjustments if necessary.
- Introduce him/herself to the client, review arrangements, and ask the
client/event sponsor to sign the Hall Manager check-in form to acknowledge his/her
attendance.
The Hall Manager will, after assuring that everything is in order, depart prior to the
start of the event and will return at the conclusion of the event to check the condition
of and to secure the facility. For events held in Gaston Hall, the Hall Manager will
remain throughout the entire event and will be accessible at all times. He/she will
enforce house rules and ensure that the event is conducted in a safe and professional
manner.
The client is responsible for obtaining proper forms for space reservation through the
Office of Campus Activity Facilities. The client should complete each form as accurately
as possible and submit to the Office of Campus Activity Facilities in 1507 Leavey Center
at least ten days before commencement of the event. The reservation time should reflect
additional set-up time for the caterer, whom the client shall arrange to meet. If there is
no caterer the client will arrive at the facility at the time the facility is requested to
be opened but no later than one half hour prior to the event. The client is also
responsible for acting as the event contact and reviewing and signing the Hall Manager's
check-in form.
Clean up is the responsibility of the requestor. All loose trash must be bagged and taken to the dumpster. A charge to cover all the labor costs
to restore the area will be assessed if this obligation is not met.
Inspect for damages. Any damages not reported to the Hall Manager prior to event will be charged to the client.
The security of any equipment brought into any space by the requestor is not the responsibility of the Office of Campus Activity Facilities.
Organizations should not leave equipment in or around the facility overnight or after the event. The requestor assumes sole responsibility for any
equipment stored in or around the hall overnight or after the event.
Per DC Fire Safety regulations, the client must ensure that all fire exits are clear and accessible. Prior to each event, the client is required to
make an announcement informing the audiences of the emergency exit procedures. In Walsh Black Box, the client must provide for an aisle in
the audience of not less than four (4) feet wide.
